Staff Accountant

Job Purpose:

The Staff Accountant supports the daily financial operations of the organization by maintaining accurate accounting records, processing transactions, and assisting with financial reporting. This role ensures compliance with nonprofit accounting standards and helps the organization responsibly manage its resources. Key responsibilities include preparing journal entries, reconciling accounts, processing accounts payable and receivable, and supporting grant and fund tracking. The Staff Accountant assists with month-end and year-end closing activities, audit preparation, and the maintenance of internal controls to ensure the integrity of financial data. The role requires strong attention to detail, adherence to deadlines, and the ability to work collaboratively with internal departments.


Job Responsibilities: 

General Accounting
Prepare and record journal entries
Maintain and reconcile general ledger accounts
Assist with month-end and year-end close of books

Billing & Support: Enter all organizational billing activities, including billing for program services, events, donors, and other receivable sources.

Program-Related Responsibilities:
Create and maintain electronic records for adult services, recreation programs, and therapeutic services within Central Reach.
Develop and update application intake form templates.
Process Vocational Rehabilitation, CDC Plus and Medicaid billing for Adult Services.
Assist in records requests and provide supplemental documentation as required by insurance companies or program teams.
 
Donor-Related Responsibilities:
Create donor invoices as needed.
Integrate donor contributions from DonorPerfect and reconcile with QuickBooks.
Assist with the financial components of grant reporting.
Record and reconcile merchant transactions from PayPal, Square, Stripe, Toast, merchant banks, and matching gift programs.

Event-Related Responsibilities:
Create invoices as needed for fundraising events.
Manage multiple merchant accounts and record event-related donations.
Review event activity and perform reconciliations throughout the event cycle.
Provide vendor documentation to sponsors, including creating vendor portals and uploading invoices.

Accounts Payable:
Upload, code, and process American Express billing for payment
Support the creation and management of purchase orders for events, facilities, and program operations.
Ensure accurate expense coding to grants, programs and funding sources.
Process invoices and disbursements
Set up vendor portals and supply A/P documentation on request.

Educational/Skill Requirements:
BS degree in accounting
Minimum of Five Years’ accounting experience in a not for profit organization
Knowledge of generally accepted accounting principles
Experience in accounting software
Proficiency in Microsoft Office and databases
Demonstrate ability to multi-task and meet deadlines
Strong oral and written communication skills
Excellent attention to detail, accuracy and organizational skills.

Work Environment:
Work is performed in a typical office environment.
